TradeFit
Built by an HVAC, refrigeration and electrical contractor

Job software that knows what a condenser is.

Jobs, assets, PM schedules, timesheets, supplier bills, contract claims and invoicing in one system. Written by people who run service vans and progress claims every month, not by a software company guessing.

Ready to send
Every phase of every job on one board. Red means someone needs to act.
Missed lines caught
Travel, parking, gas, freight. The system checks the job before it's marked complete and again before the invoice is approved.
Bills land on jobs
Supplier invoices get read straight from your inbox and matched to the job. No retyping, no shoebox.
Every unit has a history
Scan the sticker, see every visit, reading, photo and gas top-up on that box since day one.
Service and contracts split
Know which side of the business makes money. Gross margin per division, without fighting your accountant's chart.
What's in it

Made for mechanical services. Works for any trade with vans.

Asset register with QR stickers
Client, site, unit. Outdoor units carry their indoor units. Refrigerant type from a locked list, factory charge and field-added charge kept apart for your gas log. Techs add units on site, office verifies.
PM agreements that run themselves
One agreement per site opens every visit for the year. Price it fixed per visit, fixed annual or at actuals. Extras bill on top. Margin reads right on flat-rate PM.
Jobs in phases
Split any job into a, b, c. Each phase has its own schedule, costs and invoice. Costing tabs show cost and sell side by side for labour, bills, POs and stock.
Contract claims done properly
Claim monthly on your estimate lines at % complete. Retention per contract on a sliding scale, materials on site, less previous net paid. Variations run as their own sub-jobs, cost plus or fixed.
Electrical certificates
CoCs built on the job and filed with it. Only staff with a current licence and sign-off rights can certify. Approving an invoice with no CoC throws a warning.
JSAs and incidents
Hazard library, 5x5 risk, stop-work triggers, everyone signs. Incident reports run report, review, sign-off, close, with a register you can hand to the main contractor.
Client knowledge
Parking, access, who to call, what they push back on. Every note shows on every job for that client, so the new tech knows what the old one knew.
On-call roster and leave
Roster fills six months ahead and skips anyone on leave. Techs swap weeks between themselves on the phone. Leave requests with balances in front of them.
Ask your data in plain English
"Which PM clients lost money last quarter?" Type it, get the report. Standard reports for WIP, unbilled work and aged debtors sit alongside.

The tech app

Your techs will actually fill it in.

Big buttons, short screens, no prices. The tech opens the job, hits the timer, scans the unit, takes photos and logs parts off their own van. Finish up with work done, follow-ups and the customer's signature. A job report PDF files itself.

Invoicing

Stop giving away the travel and the gas.

When a job is marked complete, TradeFit reads the notes, time and parts and flags what looks missing. At invoice time it writes the description from the tech's notes in your own wording. Before approval it checks the draft against that client's rules: PO required, who to bill, what they always reject.

Office drafts, the boss approves, the invoice number lands on approval. Nothing goes out half-checked.

Progress claims without the spreadsheet.

Load the estimate lines once. Each month set % complete, add materials on site and the claim builds itself, retention and previous payments taken off. Out comes a PDF in your own payment claim layout, ready for the builder.

Your data, locked down
Microsoft sign-in for your staff. Each person sees only what their role allows. Pay rates and labour costs stay with the people you tick.
Fits your business
Your rates, your rules, your invoice and quote layouts, your logo. Set once in settings. Nothing hard-wired for someone else's way of working.
Talks to Xero
Approved invoices and supplier bills go across with the job number on them. Your accountant keeps their chart of accounts.
